Position: Production & Operations Assistant
Location: Fort Worth Academy of Fine Arts
Reports to: TBC Artistic Director and FWAFA Music Department Chair (dotted line report to FWAFA Principal)

Position Summary: The Production & Operations Assistant will serve Texas Boys Choir (TBC) and the Music Department of Fort Worth Academy of Fine Arts (FWAFA), providing administrative support to the artistic and administrative staff, parents, and students in the coordination of logistical details for rehearsals, performances, touring activities, and other special events as assigned or delegated by the Production & Operations Manager. This position is full-time (Monday-Friday, regular business hours) with significant evening and weekend commitments for performances, tours, and special events.

Essential Job Functions:
Rehearsals

  • Prepare music for rehearsals and distribute to or collect from choristers
  • Prepare, distribute, and/or collect all supplies or materials in rehearsals such as binders, handouts, parent information sheets, completed paperwork, fees, etc.
  • Assist the artistic staff in managing routine set-up needs for the rehearsal space, including the positioning of chairs, equipment, and other arrangements as necessary
  • Take attendance at rehearsals and help maintain official attendance records for all choirs
  • Be available on site to assist with logistical needs that may arise during rehearsals
Performances, Tours and Travel
  • Support Production & Operations Manager in arranging for stage set-up, equipment, space usage, ticketing, merchandise sales, and other operational needs at performance venues
  • Serve as backup liaison to clients and representatives of external organizations for contracted or invited performances
  • Assist the Production & Operations Manager in coordinating airline, hotel, and charter bus reservations for travel, including conferences and regional, national, or international tours
  • Assist the Production & Operations Manager in making necessary reservations and other arrangements for group entertainment and educational activities during tours
  • Distribute to and collect from students, parents, and chaperones all information, paperwork, authorization forms, payments, etc. necessary for travel
  • Travel with choral ensembles on performance trips and tours, in order to perform the relevant rehearsal- and performance-related duties listed above
Other Operational Duties
  • Work with artistic staff and Production & Operations Manager to maintain a clean, organized, attractive, and chorister-friendly rehearsal space conducive to a positive and productive learning environment
  • Assist the artistic staff and Production & Operations Manager in organizing, cataloging, filing, distributing and collecting music as needed
  • Communicate with parents via phone and e-mail as needed
  • Assist Production & Operations Manager in maintaining a sign-out system for dismissing choristers to authorized individuals at off-campus or after-school events
  • Assist with the organization and maintenance of wardrobe inventory for all choirs
  • Work with TCAA Advancement Office to create and maintain a database of parents, alumni, and other relevant community contacts for TBC and FWAFA
  • Attend weekly staff meetings and other meetings as needed/scheduled
  • Other duties as assigned duties listed above

Essential Job Requirements:
  • Education – Bachelor’s degree required; a concentration in Music, Music Education, Arts Administration, or related field preferred
  • Required Skills and Capabilities – ability to work collaboratively with a diverse team; excellent verbal and written communication; solid organizational skills and strategies; significant evening/weekend commitments for performances and other special events, as well as regional, national, and international travel for touring activities
  • Preferred Skills and Capabilities – proven experience collaborating with others to develop interdisciplinary artistic products and/or quality work products
  • Physical Requirements – ability to carry up to 50 lbs.; valid driver license
Position Category: 12-month contract, exempt , full-time
